Terms of Service

These Terms of Service ("Terms") govern your use of Roadmap OS ("the Service"), a product strategy and roadmap tool available as a desktop application and a web application at app.pmroadmapper.com. By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. Definitions

• "Service" means the Roadmap OS web application, desktop application, APIs, edge functions, and all associated documentation and support.
• "You" / "User" means any individual or entity that creates an account or uses the Service.
• "We" / "Us" means the operators of Roadmap OS.
• "Content" means any data, text, files, roadmaps, comments, or other materials you create, upload, or store through the Service.

2. Your account

To use the Service you must create an account with a valid email address, or sign in via Google OAuth. You are responsible for:

• Maintaining the confidentiality of your login credentials.
• All activity that occurs under your account.
• Notifying us promptly if you suspect unauthorized access to your account.

You must be at least 16 years old to create an account. Accounts registered by automated methods (bots, scripts) are not permitted.

3. Acceptable use

You agree not to:

• Use the Service for any unlawful purpose or in violation of any applicable laws.
• Attempt to gain unauthorized access to other users' accounts or data.
• Reverse-engineer, decompile, or disassemble the Service beyond what applicable law expressly permits.
• Transmit malware, viruses, or any code designed to disrupt the Service.
• Use the Service to send spam, bulk unsolicited messages, or harass others.
• Scrape, crawl, or automatically collect data from the Service except through our published APIs.
• Resell or redistribute the Service without our written permission.
• Circumvent rate limits, authentication, or security measures.

We reserve the right to suspend or terminate accounts that violate these rules, with or without notice depending on severity.

4. Your data and content

4.1 Ownership

You retain full ownership of all Content you create or upload to the Service. We do not claim any intellectual property rights over your Content. Your roadmaps, plans, OKRs, documents, and all other data belong to you.

4.2 Licence to operate

By using the Service, you grant us a limited, non-exclusive licence to store, process, display, and transmit your Content solely for the purpose of providing and improving the Service. This licence ends when you delete your Content or close your account.

4.3 Data isolation

Your Content is isolated from other users' data via row-level security policies at the database level. Other users cannot access your data unless you explicitly share a roadmap with them. For details on how we handle your data, see our Privacy Policy.

4.4 Backups and export

You can export a complete JSON backup of your data at any time via the in-app export feature. We recommend doing this regularly. While we maintain our own backups, we do not guarantee that we can restore individual user data from our backups on request.

5. AI features and BYO keys

Roadmap OS offers AI-powered features (competitive analysis, brand guides, decision frameworks, voice transcription) that require you to supply your own API key from a supported AI provider (OpenAI, Anthropic, or Google Gemini). When you use these features:

• Your API key is stored locally on your device. It is never stored on our servers.
• Prompts are routed through a stateless proxy on our infrastructure to bypass browser CORS restrictions. The proxy does not log, store, or inspect your prompts, responses, or API keys.
• You are solely responsible for your relationship with the AI provider, including compliance with their terms of service, usage limits, and billing.
• We make no warranties about the accuracy, completeness, or fitness of AI-generated content. You are responsible for reviewing and validating any output before acting on it.

6. Subscriptions and billing

6.1 Plans

The Service offers multiple subscription tiers (Basic, Standard, Pro) with different feature sets. The Basic tier is free. Paid tiers are billed monthly. Current pricing is displayed on our marketing site at pmroadmapper.com.

6.2 Payment

Payments are processed by Paystack. We do not store your credit card details. By subscribing to a paid plan, you authorize recurring monthly charges until you cancel.

6.3 Cancellation and refunds

You may cancel your subscription at any time. Your paid features remain active until the end of the current billing period. After cancellation, your account reverts to the Basic tier and your data is preserved. 6.4 Price changes

We may change subscription pricing with at least 30 days' notice via email. Continued use of the Service after a price change takes effect constitutes acceptance of the new pricing.

7. Service availability

We strive to keep the Service available and performant, but we do not guarantee uninterrupted or error-free operation. The Service is provided on an "as is" and "as available" basis. We may perform scheduled maintenance, deploy updates, or experience downtime due to factors beyond our control.

The desktop application works offline for local data; cloud sync requires an internet connection.

8. Intellectual property

The Service, including its source code, design, branding, documentation, and all associated intellectual property, is owned by us and protected by applicable copyright and trademark laws. These Terms do not grant you any right to use our trademarks, logos, or branding without our written permission.

The desktop application is distributed as proprietary software. You may not redistribute, modify, or create derivative works of the application without our written permission.

9. Limitation of liability

To the maximum extent permitted by applicable law:

• We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.
• Our total aggregate liability for any claim arising from or related to these Terms or the Service shall not exceed the amount you paid us in the 12 months preceding the claim, or R1,000 (ZAR), whichever is greater.
• We are not liable for any loss of data, revenue, or business opportunities arising from your use of the Service, including but not limited to data loss caused by service outages, bugs, or account deletion.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability for fraud or wilful misconduct.

10. Termination

10.1 By you

You may stop using the Service and request account deletion at any time by emailing us (see Section 13). We will delete your account and all associated data within 30 days, subject to our data retention policy in the Privacy Policy.

10.2 By us

We may suspend or terminate your account if you materially breach these Terms (e.g. acceptable use violations, payment fraud). For non-urgent violations, we will attempt to notify you and give you an opportunity to remedy the breach before terminating your account.

10.3 Effect of termination

Upon termination, your right to use the Service ceases immediately. We will retain your data for 30 days after termination to allow you to request an export, after which it will be permanently deleted.

11. Changes to these terms

We may update these Terms from time to time. When we do, we update the "Last updated" date at the top. For material changes, we will notify registered users by email at least 14 days in advance. Continued use of the Service after a change takes effect constitutes acceptance of the updated Terms.

12. Governing law

These Terms are governed by the laws of the Republic of South Africa. Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of South Africa.
